Ballad Health recognized the potential of Microsoft 365 Copilot to improve productivity across its healthcare organization. But with more than 3,000 people gaining access to Copilot, the organization needed a scalable way to build confidence, demonstrate practical use cases, and turn initial interest in AI into consistent, everyday use. Ballad Health partnered with Mobile Mentor to deliver a structured Copilot adoption and training program designed to accelerate adoption across its workforce.
The Challenge
Ballad Health had purchased Microsoft 365 Copilot licenses for its workforce and wanted to drive broad adoption. Before the training program, approximately 440 employees had reached Microsoft’s Premium Regular User (PRU) adoption threshold, defined as more than 30 Copilot interactions per month.
As Copilot availability expanded to more than 3,000 people, Ballad Health needed to move beyond simply providing access to the technology. The organization needed to help employees understand how to use Copilot in their daily work, build confidence in its capabilities, and establish consistent usage across a diverse healthcare system.
With a large workforce spanning multiple regions and healthcare services, Ballad Health needed an approach that could reach employees at scale while providing practical guidance and ongoing support.
The Solution: Microsoft 365 Copilot Adoption and Training
Through an introduction from Brett Hall at Microsoft, Mobile Mentor partnered with Ballad Health to deliver a structured Microsoft 365 Copilot adoption and training program, funded through ECIF and MCI.
The engagement combined live training sessions with follow-up office hours. Mobile Mentor and Microsoft jointly delivered the training, giving employees an opportunity to learn Copilot capabilities, explore practical applications, and build confidence using AI in their work.
Mobile Mentor also provided office hours where participants could apply what they had learned, receive practical guidance, and get one-on-one support. This combination of structured learning and hands-on assistance helped employees move from initial exposure to more consistent Copilot use.
The program was designed to reach employees at scale while giving them the support needed to put their new skills into practice.
The Impact
The training program delivered significant adoption gains, helping Ballad Health scale Copilot usage across its workforce.
The first training session attracted approximately 1,118 unique attendees, followed by a second session with more than 900 attendees. This strong participation helped extend Copilot training across the organization and build momentum for broader adoption.
By partnering with Mobile Mentor, Ballad Health achieved several key outcomes:
For Ballad Health, Copilot adoption became more than a technology rollout. Through structured training, practical guidance, and ongoing support, the organization established a stronger foundation for recurring AI use across its healthcare workforce.
